In 2026, choosing a tool stack is no longer just "which app do you use." The real question is: how do you integrate these tools, how do you reduce context-switching cost, how do you enforce async-first discipline. At Roibase, a 12-person multidisciplinary team—marketing, data, headless commerce, brand strategy—operates on a single operational stack. In this post, we share our 5 core tools and integration patterns. By the numbers: 2.3 hours of meetings per day on average, async response time under 4 hours, sprint velocity predictability at 87%.
Linear: Sprint Discipline, Not Backlog Bloat
We've been using Linear since 2024. The migration from Jira was driven by speed and forced consensus. In Linear, every issue must be tied to a cycle (sprint)—you can't accumulate a backlog graveyard. Our cycles are 2 weeks, starting Monday. Each cycle starts with a velocity target: 40-45 story points per team member. That number comes from the last 6 cycles' average, not a guess.
Linear's strongest feature is its project-issue hierarchy. We use it this way: each client campaign is a project, epics sit below (e.g., "Q3 brand refresh"), tasks sit below epics. Tasks auto-drop into Slack—you can create an issue directly from a Slack thread with /linear create. No "let's move this conversation to Linear" friction. The thread links to the issue, context stays intact.
Another rule: one assignee per issue. If it's "we'll do this together," we open a parent issue with two sub-tasks underneath. That kills assignment ambiguity. In sprint retros, our velocity hit rate is 87%—12-cycle average. That stays stable because of Linear's due date and estimate enforcement.
Notion: Single Source, Dual Purpose
Notion operates in two layers at Roibase: documentation and decision log. Documentation is standard—onboarding, SOP, runbooks. But the decision log is critical. Every strategic decision (tool switch, client onboarding process revision, new hire JD) opens as a Notion page. Template: context, options (table), decision, rationale. Six months later, you can look back and ask "why did we pick this tool?"
Notion-Linear integration isn't native yet; we wired it through Zapier. When an epic completes in Linear, the related project page in Notion auto-tags with "completed." Minor but essential—because PMs live in Linear, stakeholders live in Notion. Both sides need to stay current.
Notion's weakest point: search. At 400+ pages, search result quality drops. We fixed this with tagging discipline: every page gets a minimum of 3 tags (team, project type, status). We search less, filter more—that way the search engine's hallucination problem shrinks.
Knowledge Base vs. Chat Memory
We don't sync Notion into team chat (Slack). Chat is ephemeral, Notion is persistent. When a decision lands in chat, someone manually moves it to Notion. This friction is intentional—we don't want everything falling into Notion. Only reusable knowledge lands there. Slack thread retention is 90 days—threads not pinned after that auto-archive. This rule makes Notion genuinely "the single source."
Slack: Async-First, Meeting-Last
We have 42 channels in Slack. Rule: one channel per client, one per internal function (e.g., #data-ops, #brand-strategy). No private channels—transparency is default. HR-only conversations go to DM. This keeps onboarding fast—new hires read the full context history on day one.
Async-first culture runs through Slack thread discipline. Rule: every message either gets a threaded reply or a reaction. If a message gets no reaction in 2 hours, that's a signal—"no one owns this." Average threaded response time is 4.2 hours (last 30 days). That kills the need for sync meetings.
Slack-Linear integration is bidirectional: /linear creates an issue from Slack, Linear updates ping Slack. PMs live in Linear, developers live in Slack—both stay current. Notification noise? Yes. We solved it: each user picks their own mention keyword (e.g., "@john-urgent"), only that keyword triggers push. Other notifications land in an async-read "Updates" channel.
Figma: Design Handoff, Zero Debate
Figma at Roibase isn't just UI/UX—it's brand asset management. Each client has a Figma workspace: logo variants, color palette, typography system, slide templates. Developer handoff happens in Figma's inspect mode—no "what hex code is that blue" argument. Ever.
Figma-Notion integration is manual. When design finalizes, the Figma link embeds in the Notion project page. Stakeholders see the design without leaving Notion. We don't use Figma comments—because comments live in Figma, they don't sync to Slack. All feedback lands in a Slack thread, the designer brings it back to Figma.
Figma's version control is strong, but naming discipline falls to you. Our rule: every major revision gets named "v1.0," "v2.0." Minor iterations are "v1.1," "v1.2." That way you can tell a client "you approved v2.3"—no file ambiguity.
Granola: Turn Meetings Into Async Artifacts
We added Granola late 2025. It's an AI meeting note tool, but our use case is different. Granola doesn't just transcript—it extracts action items. Meeting ends, Granola auto-opens a Linear issue with an assignee. No "did that meeting action land in Linear" friction.
Granola's best feature: it webhooks the meeting summary to Slack. Team members who didn't attend read the 5-minute summary in #meeting-notes five minutes later. That creates async transparency—FOMO drops, unnecessary meeting attendance drops.
Granola has no Notion integration yet. We do it manually: critical client meeting summaries from Granola copy into the Notion decision log. That friction is intentional—we don't want every meeting in Notion. Only strategic decisions land there.
Integration Patterns: Friction by Design
A tool stack succeeds not just on tool choice, but on where you place friction. We have three intentional friction points:
- Slack → Notion: Not automated. Chat decisions move to Notion manually. Keeps Notion noise-free.
- Figma → Linear: No comment integration. Feedback collects in Slack. Keeps feedback in one place.
- Granola → Notion: Not automated. Critical meetings move to Notion manually. Keeps the decision log high-quality.
This friction defies "automate everything," but it's purposeful. Because automation's cost is: you lose track of where information lives. We place friction to build information hierarchy: Slack is ephemeral, Linear is sprint-scoped, Notion is strategic.
