Selecting productivity tools in 2026 isn't simple—every platform claims to be a "collaboration hub." At Roibase, eight years taught us this: choosing a tool is easy; engineering the integration pattern is hard. Our 12-person team spans 3 time zones and operates async-first. This piece opens the backbone of that discipline: what each tool does, how they integrate, where context-switching costs accumulate.

Linear: Not a Single Source of Truth, Decision Flow Management

Treating Linear as an issue tracker misses the point. We use it for "decision flow management." At the start of each sprint cycle, PM and lead developer co-prioritize the roadmap board together. Linear's strength isn't prioritization—it's webhook-notifying Slack of status changes. No one manually opens Linear asking "what's happening."

Notion: Not Information Architecture, Decision History

Notion's search is weak—with 500+ pages, semantic retrieval fails. Solution: manual tagging on every Notion page (client-name, project-type, team-owner). Filter first, then search. Average info retrieval time dropped from 2 minutes to 30 seconds (internal measurement, March 2026).

Slack: Async-First Enforcer

Using Slack as real-time chat is indisciplined. We built it as an "async-first enforcer." The rule is simple: 4-hour response time on Slack messages isn't expected—unless urgent. If urgent, use @channel; then everyone sees it in 30 minutes.

Figma: Not Design Handoff, Design Documentation
